Study Leave Management Unit

This section is responsible for managing matters related to staff application for their study leave. This is including application from academic and non-academic staff in order to align with the needs to create a knowledgeable, an innovative staff and which later contribute to the university excellence. Apart from that, it is university initiatives to increase the number of staff with PhD.  

Types of study leave 
1. Study Leave Training Award (Hadiah Latihan Cuti Belajar) - Full Time & Full Salary / Study Leave Training Award-Full Time & without scholarship 
  • Limited for Academic Staff and Management and Professional Staff 
  • Permanent Staff
2. Study Leave with Half Pay -Full Time & without scholarship
  • Executor group (Kumpulan Pelaksana) 
  • Permanent Staff  

3. Study Leave Training Award (Hadiah Latihan Cuti Belajar)-Part Time with Fee Financing  

  • Management and Professional Staff 
  • Executor group 
  • Permanent Staff  
 

Some of the functions of this section/unit are as follows: 
1. Compile yearly faculties’ projection of their academic staff for study leave  
2. Organize Study Leave Preparatory Course for the academic staff 
3. Advertise the study leave Quota given by the Ministry of Higher Education (MOHE) 
4. Manage all the study leave application according to the UNIMAS and MOHE requirements before Study Leave Committee meeting. This is including: 

  • Staff Study Leave (Academic/Non Academic) 
  • Sabbatical Leave 
  • Post-Doctoral
  • Sub Specialist
5. Prepares Study Leave Committee meeting’s documents after date is finalized by Chairman. 
6. Prepares Human Resource Committee meeting’s documents after date is finalized by Chairman (only for study leave application/ special case/ yearly performance review) 
7. Coordinate all the application with the applicants to fill in the MOHE system (ESP) 
8. Prepares the agreement documents for the successful applicants 
9. Organize Study Leave Briefing for the successful applicants 
10. Coordinate all the needs during the study period including  
  • Issuing a Financial Guarantee Letter (FGL) & Visa Application Letter 
  • Monitoring all the study leave staff Progress Reports 
  • Organize Monitoring session  
  • Application on change of supervisor/ university/ field of research 
  • Application on upgrading studies/postponement  
  • Application on extension of study leave period 
  • Coordinate all the study leave money related including fees/allowances/claims and etc 
  • Issuing a reminder notice on the final date of the study period
11. Manage the staff report duty session  
12. Organize the reporting session for staff who have returned from study leave but have not yet completed their study
13. Issuing a statement of Service Bond calculation for the staff after returning from study leave during report duty
14. In charge of Termination of Study Leave process
15. Updating of Statistics and Data on Study Leave
16. Secretariat of the Study Leave Committee Meeting
